Creating a seamless and fulfilling experience for campers goes beyond the camp itself. Engaging and effectively communicating with parents is a pivotal part of ensuring a successful summer camp session. Proactively reaching out, responding thoughtfully, and listening attentively are indispensable aspects that establish trust and connection with families.
While attending the ACA (American Camp Association) Tri-State Camp Conference of 2023, I learned a few new things that I am adding to my camp took kit. I learned that there are better ways for our staff to communicate with parents.
The presenter of this session discussed how reaching out to the parents proactively, responding instead of reacting, listening, and acknowledging parents are some of the key ways to effectively communicate with families.

Key Elements to Effective Parent Communication
Here’s an in-depth exploration of how these elements play a crucial role in effective communication with parents, offering guidance to summer camp staff.
Proactive Outreach: Establishing a Foundation of Trust
The foundation of successful communication begins before the campers even arrive. Proactive outreach to parents helps set the stage for a trusting and open relationship. Sending out introductory emails, informational newsletters, or hosting pre-camp orientation sessions conveys a proactive approach.
These initiatives provide an avenue to introduce the camp’s ethos, safety measures, and daily schedules, helping parents feel informed and reassured about their child’s experience. Clear and timely communication at this stage lays the groundwork for a collaborative partnership between the camp and parents.
We can do this through text, phone calls, emails or in-person. Sending texts and making phone calls are the best ways for Calleva staff to connect with the families of our campers.
I personally enjoy reaching out to the parents with a photo and brief message about their camper, it helps them see how their child is doing at camp in the moment and from a different perspective.
Yes, the campers go home and sometimes tell stories. However, a lot of times the campers don’t and parents will then ask how their child is doing at camp.
Responding, Not Reacting: Grace Under Pressure
During a summer camp session, unforeseen situations can arise, triggering concerns or queries from parents. How staff respond to these situations can significantly impact parent-camp relations.
It’s crucial to adopt a response-based approach rather than reacting impulsively. Acknowledging parental concerns promptly, even if the answer isn’t immediate, demonstrates care and consideration. Crafted responses that address the concern while showcasing empathy can assuage worries and foster confidence in the camp’s ability to handle challenges.
You are not alone. At Calleva, the Camp Directors are there to facilitate parent communication. Therefore, making sure Camp Directors are aware of any situations that may prompt communication from a parent is very useful. With all the details from the day’s events in hand, Camp Directors are able to respond immediately to address concerns and offer any solutions or answers.
As an Instructor, Head Counselor or Junior Counselor you play a key role in preparing Camp Directors for effective parent queries.

Listening: Valuing Parental Input and Concerns
Listening is a cornerstone of effective communication. For summer camp staff, attentively hearing out parental feedback, suggestions, or worries is invaluable. This listening extends beyond just the words; it involves empathizing with the emotions underlying their concerns.
Encouraging parents to voice their thoughts through surveys, feedback forms, or scheduled discussions showcases a camp’s commitment to improvement. By acknowledging and acting on constructive feedback, camps can cultivate an environment where parents feel heard, valued, and engaged in their child’s camp experience.
At Calleva, the office staff consistently provide parents with surveys and feedback forms. In addition, we regularly receive feedback from parents via email or phone after their child’s great camp experience.
Acknowledgment: Appreciating Parental Involvement
Recognizing and appreciating parental involvement and support is essential. Parents entrust camps, like Calleva, with their children. Thus, acknowledgment of this trust is imperative.
Acknowledgment could be as simple as expressing gratitude through thank-you text or recognizing parents’ contributions during camp events. Acknowledging their involvement not only strengthens the parent-camp relationship but also fosters a sense of community and belonging among families. A little comment goes a long way in appreciating parent involvement.

Nurturing Lasting Connections
Effective communication between summer camps and parents isn’t just about disseminating information—it’s about building and nurturing lasting connections. Proactively reaching out, responding thoughtfully, actively listening, and acknowledging parents are the cornerstones of this relationship.
When executed consistently, these practices lay the groundwork for trust, transparency, and mutual respect. They pave the way for a collaborative partnership, ensuring that campers have a memorable and enriching experience while fostering a sense of confidence and reassurance among parents.
As summer camp staff, embodying these communication principles not only enriches the camp experience but also creates enduring bonds with families, shaping positive memories that extend beyond camp.

Alexa Simon
Virginia Assistant Camp Director
Alexa has been with the Calleva team since Summer 2017. She joined the team because she needed a summer job while she was majoring in Education and wanted to be outdoors! Alexa loves that she’s teaching kids in ways that they would never learn in a traditional school setting. She also really enjoys challenging herself in ways that she never would be able to in a school classroom.
Alexa likes to dabble in all Calleva activities, she enjoys being both on water and land. But, if she had to choose, her favorites would be SUP, Rock Climbing, and Caving. Alexa loves how she gets to work with a wide variety of ages and how she gets to do something different every day!
